ENVIRONMENTAL POLICYCORPORATE SOCIAL RESPONSIBILITYLegal Library Services Ltd (LLS) is an independent, family-owned company, offering not only the supply of specialist library materials, but also ancillary support and management services, via our offices in the UK and Singapore, to professional libraries globally. We are justifiably proud of our reputation as one of the most respected names in library supply and understand that this is because we continually strive to work in an ethical, responsible and environmentally efficient manner to offer a level of dedication, personal service and professionalism to our clients as well as maintaining excellent relationships with staff and with our suppliers. We understand that our business does not run in isolation, but that our actions impact directly upon our employees, our clients and our suppliers and that actions, ultimately, have a direct effect upon the environment. To this end, we have produced this policy. We strive to play our part in the protection of the Environment, by acknowledging and enhancing our responsibility to our staff, to our clients and to our community. RESPONSIBILITY TO THE ENVIRONMENT LLS understands that its actions have an impact not only on clients, staff and suppliers, but also a wider impact upon the Environment. We encourage staff to be “environmentally friendly” at work in a number of ways: •Becoming more “energy-efficient”. Our ethos of “small changes make a big difference” mean that, for example, by switching off lights, being “water-conscious” when running a tap, turning down office heating, we understand that we can make a positive improvement. •Minimising waste – all staff are encouraged to separate waste and recycle, where appropriate. Staff are requested to consider whether the printing out of emails etc is absolutely necessary. •A responsible attitude is taken by LLS in the production of all marketing material. The amount of wasted paper and ink is constantly monitored and paper usage is considered in the design and production of new material. •Where possible, we source and buy products (e.g. packaging) locally, so as to minimise fuel costs. •Recycling suitable products into packaging and encouraging our clients to recycle again. •Recycling all ink cartridges from printers, faxes etc, with empty cartridges being donated to St. Margaret’s Somerset Hospice for their fundraising purposes. •Minimising packaging, whilst at the same time protecting products from damage whilst in transit to clients. •Working with, wherever possible, suppliers and distributors who take steps to work in an environmentally-responsible manner. All policies remain under constant review and we welcome discussion, suggestion and feedback from our staff and others. RESPONSIBILITY TO CUSTOMERS AND SUPPLIERS We always strive to provide, with loyalty, trust and integrity, true service to our clients and suppliers, by treating them openly and fairly. We aim to:- •Advise clients in an open and honest manner of our services – there are no skeletons in cupboards at LLS. •Through regular dialogue and contact, to get to know our clients and build a relationship with them. •To always deliver unbiased advice in the client’s best interest and supply services and products in an efficient and speedy manner, whilst having due care for the environment. •To produce literature, advising our services and products in a user-friendly manner, using plain English and without deception. •To sell responsibly, never using high-pressure techniques or taking advantage of vulnerable clients. •To acknowledge to our clients if something goes wrong and to strive to solve problems in a time-efficient, responsible and effective manner. •To treat our suppliers fairly by settling accounts on time, maintaining dialogue with suppliers and auditing our suppliers to ensure, wherever possible, that they follow responsible working practices in the interests of our clients, staff and the environment. RESPONSIBILITY TO COMMUNITIES. LLS supports the local community in many ways. We regularly support local charities, by direct donation, encouraging payroll giving, sponsorship opportunities and community activity. Our Chairman, Brian Murray, is a member of The International Bar Association, a founder member of the British & Irish Association of Law Librarians (BIALL), a committed Rotarian and past officer of Rotary International. Indeed, the Company’s ethos closely follows Rotary’s “4-Way Test”: Is it the TRUTH? Is it FAIR to all concerned? Will it build GOODWILL and BETTER FRIENDSHIPS? Will it be BENEFICIAL to all concerned? Staff are regularly asked for suggestions of local charities for donation. Significant donations have been made in the past year to the following organisations:- Somerset & Dorset Air Ambulance St. Margaret’s Somerset Hospice “Babe’s Big Appeal” (Children’s Hospice South West) Royal United Hospital Bath – Neo Natal Unit South Somerset Mind The Dyspraxia Foundation Breast Cancer Awareness Children in Need Staff are regularly sponsored to take part in Fancy dress days, “Dress-down” days and similar fun events. Raffles and cake sales also take place with the proceeds, often matched by the company, going to charity. A team of staff have taken part in an annual abseil from the top of the local Hospital, having been sponsored to benefit the hospital’s scanner appeal. LLS maintains a presence in the community by being involved with the local Chamber of Trade and Yeoviltown.com website, which promotes local life with advertising of news and events. LLS provide donations to local schools for individual fundraising goals and have sponsored several Amateur productions at The Octagon Theatre, Yeovil. Sponsorship has also been given to clients, undertaking charitable activities for their preferred charities. In addition, LLS is aware of its responsibilities globally and has donated via its Singapore Office to the “Read to Me” project in Malaysia, which aims to promote reading and provide materials to combat high rates of illiteracy in rural areas and to the “Mercy Ships” project, helping towards facilitating a local ophthalmic surgeon to work for this project in Liberia. In line with our environment-aware policy, we no longer as a Company, send out Christmas cards, but instead make a donation to charity. RESPONSIBILITY TO STAFF We take our responsibility to all staff members seriously and undertake to always treat all members of staff in a responsible and respectful manner. Our staff are happy and fulfilled in their work, as can be evidenced by the length of service of many key members of staff. We aim to provide a comfortable, happy environment within which to work. We regularly carry our risk-management audits and encourage staff to provide feedback on their working environment etc. Staff are encouraged to take an active part in their community and flexible working hours are currently employed for members of staff with young children. A responsible and sympathetic approach is taken to all staff members and their own individual out of hours responsibilities. RESPONSIBILITY TO MAINTAIN AND IMPROVE At LLS, we have an excellent track record in Client service, having been awarded the British & Irish Association of Law Librarians Customer Service Initiative Award for 2006/7. However, we never rest on our laurels, but strive to improve in all aspects of the Company. Our CSR Officer, Mrs. Julia Ware (Julia.ware@legal-library.co.uk) continually monitors all new CSR initiatives and reports on a regular basis to the other Directors. We have a vision of our future and work towards that vision every day. We regularly request and listen to feedback from staff and clients and this is acted upon. Our website features an email facility, where clients can post suggestions on how we can make their life easier and these are reviewed at regular meetings and many have been implemented. Everyone at Legal Library Services acknowledges that without our clients, we are nothing. We will continually work to improve, in all aspects and in all areas, our service to our clients. ******************************************************************************************* In accordance with the core values of the founders and current directors, the environmental policy will comply with the basic principles of ethics, integrity, legality. prudence, equality, safety, timeliness, fairness, transparency and simplicity. Environmental Policy Legal Library Services Limited accepts that it has a responsibility to help create and maintain a sustainable and eco-friendly environment, having regard for the visual and noise impacts upon "neighbours." Therefore our policy is to; Comply with environmental legislation and reduce pollution wherever practical. Pursue regular programmes of maintenance and repair in order to maintain energy efficiency as well as reduction of harmful emissions to atmosphere. Seek opportunities to minmise waste by efficient use of raw materials and by reuse and recycling of unavoidable wastes. Commit to continuous improvement of waste management practices, to take effort to minimise avoidable waste, guided by both value for money and the environmental benefits of options for all appropriate waste types and ensure that materials no longer required are managed according to the following; Reduce at source - by using and discarding less material generally, segregating wastes and asking suppliers to take back packaging and re-usable containers. Re-use and Repair - by using re-usable materials and equipment, passing on to others and repairing in preference to replaing where appropriate. Recycle - by separating materials for recycling such as mixed waste paper, cardboard, cans and printer consumables. Responsible Disposal - by complying with the Environmental Protection Act 1990 and the Duty of Care Regulations 1991. Aim to use, wherever practical, materials, the production of which is ecologically sustainable and recyclable. Promote awareness and understanding of environmental issues, particularly in relation to the incorporation of such issues in company policy. Monitoring and Review The Company's Board of Directors will monitor environmental issues affecting the Company on a regular basis and make suitable changes to policy as considered appropriate.
